How to Ask Customers for Reviews
A straightforward review-request process for trade businesses, with message examples and guidance on responding professionally.

The easiest way to ask for a review is to make it part of finishing the job. Confirm that the customer is satisfied, send a short message with a direct review link and ask for an honest account of their experience. Keep the request personal, simple and free from pressure.
Most customers understand why reviews matter to a local business. The awkwardness usually comes from overexplaining or making the request feel like an obligation.
When is the best time to ask for a review?
Ask when the customer has had a fair chance to see the result and the positive experience is still fresh.
Good moments include:
- After the customer has inspected the completed work
- When they confirm they are happy
- Alongside the final invoice or completion message
- After resolving a small final query
- At the end of a successful follow-up visit
For a long project, wait until the agreed work is complete. Asking halfway through can feel premature.
Make it easy with a direct review link
Do not ask a customer to search for the business, find the correct profile and work out where to leave a review.
Google Business Profile provides a review link and QR code. Save the link somewhere easy to access, such as:
- A phone text shortcut
- WhatsApp Business quick replies
- Your invoicing system
- A job-completion email template
- A printed completion card
Our Google Business Profile checklist explains the other profile details worth completing.
What should the message say?
A good review request includes:
- The customer's name
- A brief reference to the job
- A straightforward request
- The direct review link
- Permission to be honest
Keep it short. You do not need to explain local SEO or ask for a particular number of stars.

Should you tell customers what to write?
Do not script the review or tell the customer which rating to choose. The review should reflect their genuine experience.
If somebody asks what information is useful, suggest factual prompts rather than an answer:
- What work was completed?
- Was communication clear?
- Did the team arrive when agreed?
- Was the area left tidy?
- Would they use the business again?
The customer decides what to include.
Can you offer a discount for a review?
Do not offer money, discounts, free services, gifts or competition entries in exchange for a Google review. Google treats incentivised reviews as misleading because the benefit can influence what the customer writes.
Ask for honest feedback from genuine customers instead.
Should you ask every customer?
A consistent process is better than only asking customers you believe will leave five stars.
Ask genuine customers who have experienced the service and are able to give informed feedback. Do not pressure somebody who does not want to participate, and do not arrange reviews from friends, staff or people who were not customers.
Is it acceptable to follow up?
One polite reminder is reasonable if the customer said they intended to leave a review but may have forgotten.
Example:
Hi Mark, just a quick follow-up in case the review link got lost in your messages. There is no pressure, but we would appreciate your honest feedback when you have a moment: [review link]
Avoid repeated reminders. Once is enough.
How should you reply to positive reviews?
Replies are public, so keep them professional and natural.
A useful response might:
- Thank the customer
- Refer briefly to the work
- Mention something genuinely relevant
- Avoid turning the reply into an advert
Example:
Thanks, James. We are pleased you are happy with the new consumer unit and the way the work was handled. We appreciate you taking the time to leave a review.
You do not need to write a long reply to every customer.
How should you reply to a negative review?
Read the review carefully before responding. Check the job records and speak to anyone involved.
A public reply should:
- Stay calm and polite
- Avoid sharing private customer information
- Acknowledge the concern
- Correct important factual points without attacking the customer
- Invite the customer to continue the conversation privately
Example:
Hi Alex, we are sorry to hear that the communication did not meet your expectations. We would like to understand what happened and see whether we can resolve it. Please contact us on [phone/email] so we can discuss the job privately.
Do not argue line by line. A professional reply is also being read by future customers.
Google advises businesses not to flag a review simply because they disagree with it. Reviews are generally removed only when they breach content policies.
Can reviews be reused on your website?
Genuine reviews can provide useful reassurance on a trade website, but use them carefully.
Before publishing, record:
- The exact review text
- The approved display name
- The service provided
- General location, where appropriate
- The original platform and link
- Permission to reuse it
Do not change the meaning or combine several reviews into one stronger claim.
Build reviews into the normal process
Create a small checklist for closing a job:
- Confirm the agreed work is complete.
- Let the customer inspect the result.
- Resolve any final questions.
- Send the invoice and relevant documents.
- Send the review request and direct link.
- Save any useful feedback and publication permission.
- Reply when appropriate.
This removes the need to remember each time and produces a steadier flow of feedback.
Frequently asked questions
Is it rude to ask a customer for a review?
No, provided the request is polite and leaves the customer free to decide. Many customers are willing to help but will not think to leave a review without a reminder.
Can I ask for a five-star review?
Ask for an honest review rather than a particular rating. Pressuring customers for positive ratings can undermine trust and breach platform policies.
What happens if a customer leaves a negative review?
Investigate the concern and reply professionally where useful. Keep personal details private and move detailed discussion to phone or email.
How often should I ask for reviews?
Ask suitable customers as part of completing each job. A consistent approach is better than occasional bursts of requests.
